1. Who we are

Event Support Team Ltd (“EST”, “we”), company number 09025788, registered office Fulford House, Newbold Terrace, Leamington Spa, England, CV32 4EA, operates this parking registration service on behalf of event organisers and venue operators. EST is registered with the Information Commissioner’s Office under registration ZB3384249. For each event, EST and the event organiser agree in writing who acts as controller and who acts as processor of registration data. Contact for privacy matters: privacy@estuk.co.uk.

2. What we collect

• Registration details: your name, email address, mobile number, vehicle registration number(s), and the event, car park, date and pass type you register for.
• Vehicle details: make, model, colour and year, obtained from the DVLA Vehicle Enquiry Service and DVSA MOT History service using the registration number you provide, used to confirm you have entered the right vehicle and to assist arrival checks.
• Arrival data: confirmation that your vehicle entered the car park, recorded by our staff or by ANPR (automatic number plate recognition) at the event.
• Optional saved profile: if you tick “remember my details”, we keep your name, contact details and saved vehicles to prefill future registrations.
• Technical data: basic logs needed to run the website securely.

3. Why we use it and our lawful basis

• To administer your parking registration and send your confirmation: performance of a contract / legitimate interests.
• To check vehicles on arrival, including by ANPR, and to manage site safety and capacity: legitimate interests of EST and the Organiser in running a safe, efficient car park.
• To prefill your details as a returning customer: your consent, which you can withdraw at any time.
• We do not sell your information and we do not send marketing without your separate consent.

4. Who sees it

• EST staff administering the event.
• The event organiser, who can see registrations for their own event only.
• Service providers who host the website, database and email delivery, acting on our instructions under contract.
• DVLA / DVSA, solely to look up the vehicle details described above.
• Authorities where we are legally required to disclose.

5. How long we keep it

• Event registrations, including vehicle registration numbers and arrival records, are automatically deleted 30 days after the event date.
• Saved profiles (kept only with your consent) are deleted after 2 years without use, or immediately on your request.
• Anonymised statistics, such as total vehicles per event, contain no personal information and may be kept for planning and reporting.

6. Your rights

You have the right to access your information, correct it, have it deleted, restrict or object to its use, and to data portability. You can withdraw consent for a saved profile at any time. To exercise any right, contact privacy@estuk.co.uk. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).

7. Security

Registration data is held in an encrypted, access-controlled database. Admin access requires individual accounts and passwords, and event organisers can only access their own event’s data.
